What we hold, and why

A taxi booking needs a name, a number and two places. This page explains what happens to them.

The short version

We collect what is needed to send a car to the right place at the right time, and, if you ask for it, to tell you about GW Taxis. We do not sell your details.

What we collect

When you ask for a price: your name, phone number, pickup and destination, the date and time, any return journey, the number of passengers and bags, and anything you choose to add in the notes. An email address if you give one.

When you type an address: what you type may be sent to Google Maps Platform to suggest matching addresses. It is not stored against you.

When you join the launch list: your first name, your email address and, if you give it, your mobile number. We also keep a record of what you agreed to and when.

When you send an enquiry: your name, the contact detail you give, and your message.

Why we hold it

To price and carry out the journey you have asked for, which is the contract between us, and to contact you about it. To keep a record of bookings and fares for accounting and tax, which we are required to do.

Launch news is sent only because you asked for it, and only by the channels you chose: email when you join the list, and texts only if you added your mobile number for text updates. You can withdraw that at any time by using the unsubscribe link in any email, replying STOP to any text, or asking us.

Who else sees it

Netlify hosts this site and stores bookings and the launch list on our behalf. Klaviyo sends our launch emails and texts, and holds the launch list to do so. Google Maps Platform receives the addresses you type in order to suggest matches. Texts about your journey go through an SMS provider and emails through an email provider.

Some of these companies are based in the United States, so your details may be processed there. Where that happens it is under the safeguards UK data protection law requires for international transfers.

Each of them acts only on our instructions. Nobody else receives your details, we do not sell data, and we do not run advertising or social media tracking on this site.

The tracking link

The link in your messages shows the status of your journey. Anyone holding that link can see it, which is deliberate so you can forward it to whoever is meeting you. It shows only the journey, the driver, the car and, once agreed, the price. It never shows your phone number, your email address or any notes.

Cookies

If you allow it, this site uses a cookie from Klaviyo, the service that sends our launch emails. It remembers this browser so that, once you have joined the launch list, the emails we send can reflect what you looked at here. It is set on this site only and is not used to follow you around other websites.

Nothing is set unless you choose Accept. You can change your mind at any time with the button below, or by clearing cookies in your browser.

How long we keep it

Booking records are kept for six years, which is the period we are required to keep financial records for. Enquiries that do not lead to a booking are deleted within twelve months.

Launch list details are kept until you unsubscribe or ask us to delete them. We review the list at least once a year and remove anyone who has not heard from us in that time.

Your rights

You can ask what we hold about you, ask for it to be corrected, or ask for it to be deleted where we are not required to keep it. Ask and it will be dealt with, not routed through a form.
